Apexion Studio Customer Privacy Policy
This English version is provided for convenience. If there is any inconsistency, the Chinese version prevails.
Apexion Studio ("the Studio," "we," or "us") values the privacy, data security, and trade secrets of its customers. This policy explains how we handle the information customers provide when using our quoting, design, manufacturing, file handling, CRM, chat, and related services, as well as the protection and confidentiality responsibilities we assume with respect to confidential information.
1. Customer Information We May Process
Depending on the services a customer uses, we may process:
- Basic customer information: name, company name, contact details, email address, and other contact information the customer voluntarily provides.
- Project and order information: project name, requirement descriptions, order details, delivery dates, quantities, and related business information.
- Quote information: quotes, items, quantities, prices, and payment- or transaction-related information.
- Messages and communications: text, images, and attachments the customer provides via email, LINE, CRM, or other channels agreed upon by both parties.
- Engineering and design data: CAD files, engineering drawings, 3D models, dimensions, specifications, product designs, and related technical data the customer voluntarily provides.
- Files: files the customer provides to obtain a quote, design, machining, manufacturing, or other services, in formats such as STL, OBJ, 3MF, and STEP.
- Necessary technical data: necessary system logs generated to maintain system security and normal operation.
2. Purposes of Use
We may use customer information for the following purposes:
- Responding to customer inquiries and providing customer service.
- Analyzing customer requirements and preparing quotes.
- Performing design, 3D model review, machining, manufacturing, or other commissioned work.
- Managing orders, projects, quotes, and related business records.
- Communicating about projects and sending notifications through channels agreed upon by both parties.
- Maintaining the security and normal operation of the CRM, files, and backend services.
- Fulfilling legal obligations, handling disputes, or protecting the legitimate rights and interests of the Studio and our customers.
3. Customer Confidential Information and NDA Principles
Apexion Studio holds a high duty of confidentiality with respect to non-public information and trade secrets provided by customers. Unless we have the customer's consent, are otherwise required by law, or it is necessary to complete the work the customer has commissioned, we will not arbitrarily disclose, sell, or rent customer confidential information, or provide it to unrelated third parties.
Within reasonable limits, the following may be regarded as customer confidential information:
- 3D models, CAD files, engineering drawings, and design drawings.
- Product designs, dimensions, specifications, structures, and technical data.
- Samples, product development information, and unreleased product content.
- Quotes, costs, prices, and transaction terms.
- Customer lists, business plans, operational information, and other non-public business information.
- Other information that the customer has clearly marked as confidential, or that by its nature should reasonably be regarded as confidential.
If the parties separately sign an NDA, confidentiality agreement, or other written contract, the confidentiality obligations, exceptions, confidentiality period, and scope set out therein shall be governed by that formal contract. This policy does not replace any NDA or other contract separately signed by the parties.
4. Customer Files and Intellectual Property
Unless otherwise agreed in writing by the parties, all original ownership, intellectual property rights, and other rights in the designs, drawings, 3D models, engineering data, and other content provided by the customer remain with the customer or the original rights holder. We do not acquire, by virtue of the customer providing files to us for processing, any rights beyond the scope necessary to complete the commissioned services.
To complete quoting, design, machining, manufacturing, file conversion, quality verification, or other work requested by the customer, we may copy, open, analyze, or process customer files to the extent necessary.
5. Data Sharing and Service Providers
We will not arbitrarily provide customer information to third parties unrelated to the project. Where third-party services are needed to complete the customer's commission, maintain system operation, or provide necessary services, we will process the relevant data within a reasonable and necessary scope.
Depending on the actual services provided, these may include:
- Apple Push Notification service (APNs): used for iOS push notifications in Apexion CRM.
- Google Drive: used to store and manage certain business files or system data.
- LINE: if a customer provides messages or files via LINE, the related content may be transmitted through the LINE service.
- Render: used to provide the Apexion CRM backend services.
If we engage third-party partners to perform necessary work for a project, we will, within reasonable limits, require them to use the data only to the extent needed to complete the assigned work, and to bear appropriate confidentiality obligations.
6. Data Retention
We retain customer information for as long as necessary in accordance with service needs, business records, contracts between the parties, and applicable law. When information no longer needs to be retained, or must be deleted in response to a lawful customer request, we will delete, deactivate, or de-identify it as circumstances require.
Where information must continue to be retained due to legal obligations, accounting or transaction records, dispute resolution, information security needs, or other lawful purposes, it may be kept for the necessary period.
7. Data Security
We take reasonable technical and administrative measures to reduce the risk of unauthorized access to, alteration, loss, or leakage of customer information. For confidential design, engineering, and business information provided by customers, we take appropriate access-control and confidentiality measures according to its nature.
However, no network transmission, cloud storage, or electronic device can be guaranteed to be 100% secure. We therefore continue to improve our information security measures within reasonable limits, but we cannot guarantee that information security risks will be completely eliminated in all circumstances.
8. Access, Correction, and Deletion of Customer Information
Customers may submit requests to us to access, correct, stop using, or delete their information. If you wish to submit a data handling or deletion request, please contact us through the official website and provide the information necessary to help verify your identity and the scope of the data concerned.
If a customer requests that we stop retaining or delete designs, engineering drawings, or other confidential files they have provided, we will handle the request after confirming it against the contracts between the parties, the project status, and applicable law.
9. Information Not Voluntarily Provided by Customers
As a general principle, we do not actively collect customers' personal information for purposes unrelated to our services. Where the system generates necessary technical logs for security, maintenance, or troubleshooting, such data is used only to the extent reasonably necessary.
10. Relationship Between This Policy and Contracts
This policy is a general statement by Apexion Studio on the protection of customer information and privacy. If a customer and Apexion Studio have a formal quote, order, service contract, NDA, confidentiality agreement, or other written agreement, matters relating to data handling and confidentiality shall be governed by the formal agreement between the parties.
